Use of the Cloud software
When you use our Cloud software, we process (depending on your settings and integrations) personal data such as account data (name, email, role), technical log data (such as IP address, login and audit logs), and data from connected advertising platforms and/or website interactions.
We process this data to perform the agreement (access, support, reports), to keep the Cloud software secure and stable (security and fraud prevention), and to improve our services. Where possible, we use aggregated and/or anonymized data for product improvement, so that it can no longer be traced back to a person.
Role of Aizy B.V.
For personal data that we process in the context of our own website, marketing, sales, and HR activities, we act as the controller.
For personal data that we process on behalf of our customers in the context of the Cloud software, we act as a processor within the meaning of the GDPR. In that case, the customer determines the purpose and means of the processing, and our data processing terms apply.
Special and/or sensitive personal data we process:
We only process special and/or sensitive personal data if you enter into salaried employment with Aizy B.V. Under the law, we are then required to maintain personnel records including, among other things, your citizen service number and passport photo. This data is visible on your identity document.
How we obtain your data:
The personal data that Aizy B.V. processes about you is provided by you to Aizy B.V. via email, telephone, an online contact form, social media, or a visit to the website. Aizy B.V. may also request personal data from the Chamber of Commerce Trade Register.

Aizy B.V. has weighed its interest in processing personal data against the privacy interest of the data subject and will under no circumstances process more personal data than is strictly necessary to achieve the above-mentioned purposes.
Retention period
Aizy B.V. will not retain your data longer than strictly necessary to realize the above-mentioned purposes. For customers, this is often as long as you have an active subscription.
Customer, membership and payment data and invoices are retained for seven (7) years for the purpose of the legal administration obligation;
Communication such as emails and messages in which agreements are made are retained for five (5) years, since this is the legal limitation period for claims for damages and this data may serve as evidence.
Analytical data (statistics) is retained for two (2) years;
Responses under social media posts remain until the post is taken offline, the response is removed by Aizy B.V., or you submit a deletion request;
Reviews on our website and/or social media posts are retained until we decide to remove them or until you submit a deletion request;
You can unsubscribe from receiving mailings at any time. You will find an option to do this under every marketing email;
Payroll tax statements and a copy of employees’ identity documents are retained up to five (5) years after the end of employment;
Records of performance and assessment interviews, employment contracts, correspondence about appointment, promotion, demotion and dismissal, testimonials, and absence frequency are retained up to two (2) years after the employee leaves salaried employment;
We retain the personnel file for twenty (20) years because this is legally required.
